Relativity seeks a highly motivated and proactive Receptionist to cover the front desk of our main Beverly Hills office. This position requires an ability to interact in a friendly and professional manner with guests, vendor and internal employees, at all levels. This is a great entry-level position for those looking to launch their career in the entertainment business. Please note, this role will start out as a temporary role, with the possibility to transition to full-time staff after an appropriate period of evaluation.
Key Responsibilities:
- Responsible for handling daily administrative and office management functions for the Operations team, including, but not limited to:
- Answering a high volume of incoming calls.
- Greeting guests, talent and vendors.
- Managing conference room schedules.
- Partnering with other Operations colleagues to maintain order and cleanliness in all common areas – lobby, kitchen, conference rooms, copy areas and supply rooms.
- Sorting and distributing incoming mail correspondence.
- Maintaining employee contact sheet.
- Other facilities and office management duties, as assigned.
Required Skills/Qualifications:
- Undergraduate degree in related field, or equivalent work experience, required.
- Prior internship and/or Receptionist experience in an entertainment industry setting preferred.
- Proficiency in Windows operating system and MS Office (Outlook, Word, Excel).
- Proficiency in answering multi-line phone.
- Excellent phone demeanor and customer service skills.
- Ability to interact well with others, and work well alone or in a group setting.
- Ability to take direction, pay attention to detail, and prioritize tasks.
- Ability to demonstrate discretion and interact comfortably with high-profile guests.
